F&L Privacy Policy

F&L is an independent not-for-profit members’ forum, set up in 1994 and registered in Belgium as an ASBL.  This page explains data, marketing, your data protection rights, that we do not use cookies, privacy policy of other websites, changes to our policy, how to contact us and appropriate authorities.  

 

What data do we collect?

To carry out its business, F&L may collect the following data:

  • Personal identification information (such as, for example, first name, surname, company, job function, picture)
  • Contact data (such as address, e-mail, phone number)
  • User account information (login details, username, password)
  • Information about use of F&L services 
  • Relation to F&L and areas of interest in F&L
  • Enquiries and complaints submitted

 

How do we collect your data? 

You directly provide F&L with most of the data we collect. We collect data and process data when you:

  • Subscribe to F&L membership
  • Register to and/or participate in activities of F&L
  • Fill in questionnaires and feedback surveys of F&L
  • Give recommendations / feedback to F&L
  • Allow to be recorded (e.g. picture taken) during or in preparation of F&L events

F&L may also receive your data indirectly from the following sources:

  • If the entity with whom you are affiliated or a colleague of yours therein provides to F&L data through the previous bullet points.

 

How will we use your data?

F&L processes personal data with a view to:

  1. Organizing, improving & conducting highly reputed F&L meetings and F&L events;
  2. Develop and improve F&L memberships and conduct F&L membership administration; and
  3. Conduct marketing towards future F&L events and F&L memberships.

Apart from marketing materials F&L does in principle not share your personal data with non-F&L members.  Presence / registration lists for F&L events can be shared with F&L members and other participants /registrants for such event.  F&L reserves the right to access, read, preserve and disclose all data necessary to comply with law or court order; to enforce or apply our agreements with you and other agreements; or to protect the rights, property or safety of F&L, of our employees, our users or others (for example our members). 

Disclosure to law enforcement: in certain circumstances, we may be required to disclose your personal data in response to valid and binding requests from public authorities, including to meet national security or law enforcement requirements.

F&L events are in principle governed by a tailored “Chatham House Rule”. That Chatham House rule helps to create a trusted environment to understand and resolve complex matters. When a meeting, or part thereof, is held under the tailored Chatham House Rule, participants are free to use the information received, but neither the identity nor the affiliation of the speaker(s) in relation to his/her particular content may be revealed externally. Speaker presentations /materials can however be shared with F&L members and participants to the F&L event but should not be shared externally without the consent of the speaker or without his/her anonymization.

 

How do we store your data?

We use appropriate technical, organizational and administrative security measures to protect any information we hold in our files against loss, misuse and unauthorized access, disclosure, alteration and destruction. However, no undertaking can fully guarantee complete security; unauthorized introduction or use, hardware or software failure and other factors may compromise the security of the user’s data at any time.

Personal data about you will not be kept for longer than necessary for the purposes identified herein, in principle for up to 10 years after the end of the contractual relationship with you (if any), unless shorter or longer retention periods apply as per applicable statutory obligations.

 

Marketing

F&L may communicate information about F&L activities and services we think you might like, as well as those of the F&L Members.  You have the right at any time to stop F&L from contacting you for marketing purposes. If you no longer wish to be contacted for marketing purposes, write an email to sec@europeanfreightleaders.eu.

 

What are your data protection rights?

F&L would like to make sure you are fully aware of your data protection rights. Your main rights as data subject are the following:

  • The right to access – You have the right to request F&L for copies of your personal data. We may charge you a small fee for this service.
  • The right to rectification – You have the right to request that F&L corrects information you believe is inaccurate. You also have the right to request F&L to complete information you believe is incomplete.
  • The right to erasure – You have the right to request that F&L erases your personal data, under certain conditions.
  • The right to restrict processing – You have the right to request that F&L restricts the processing of your personal data, under certain conditions.
  • The right to object to processing – You have the right to object to F&L’s processing of your personal data, under certain conditions.
  • The right to data portability – You have the right to request that F&L transfers your personal data that F&L holds to another organization, or directly to you, under certain conditions.
